There are several reasons why we use zenmaid scheduling software here at Tailor Maid Cleaning. We have tried many different scheduling softwares in the past and we have found that Zenmaid is the ultimate of them all. We have used Service CEO, Housecall Pro, and Jobber. We’ve come to the conclusion that Zenmaid has them all beat tenfold, and for many reasons.
First: Zenmaid offers automated emails and texts. This is a MUST HAVE if you really value your time as a maid service. Before finding Zenmaid, we used to manually send out all of our texts and emails. Who really who wants to spend their valuable time generating reminder emails that tell our clients when we are coming out, what time we are coming, and which field techs will be sent to their house that day? Also our feedback emails have to be sent out to each and every customer we service after every visit to ensure everyone is happy with the service. It’s just part of being a good customer friendly maid service. With Zenmaid you get all of this done for you automatically. In fact Zenmaid is so customizable, you can set it up to send these emails whenever you want. So if I want our reminder emails and texts to be sent off 2 days before the customers cleaning date, Zenmaid makes it happen. It’s super easy with Zenmaid. You simply make the template to say exactly what you want, and Zenmaid will plug in the rest. For example if I want to send off a reminder email to Miss Brown, who is on my recurring schedule, then I will simply tell Zenmaid to send all reminder emails two days before Miss Brown gets serviced. Our automated emails and texts are simple and easy. Yet pretty complicated for a software automation. Since we have this set up in the Zenmaid software in the schedule, Zenmaid knows to send this message to Miss Brown exactly when we want it to every time before we go to her home. If the customer sees the message and notices there is an error in her appointment time, etc, she would more than likely email or call us regarding that. You see Zenmaid automatically tells the customer this in the reminder emails and texts. This is one of my favorite features of Zenmaid. And it’s only a small part of how powerful Zenmaid actually is.
The Zenmaid automated email and text function also does the same thing for feedback emails. This way we don’t ever have to worry about whether or not our clients are happy with the service. So the day after the clean our automated feedback emails go out to the clients we serviced the previous day. You don’t get that kind of customization with every service software. The best part about this whole thing is, if you want something else in your automated emails and text that Zenmaid doesn’t have, you can simply request to Amar, the owner of Zenmaid, that his team put in a special request for your reminder emails and texts, and he will do it without a doubt. This, my friends, is an extremely rare find. Up until finding Zenmaid, I had yet to find a scheduling software that had the possibility of changing things to suit your needs. Amar with Zenmaid, however will. You won’t get this kind of service with anyone.
Amar and the Zenmaid team is a one of a kind find that simply does not exist anywhere else. As a matter of fact, when we first started using Zenmaid, what really sold us on it was the convenience of the automated emails and texts. Another great selling point was the fact that all of our team members can log in with their own email and passwords and view their schedules right from their smartphones. This saves a lot of time, not to mention paper and ink.
When we first started using Zenmaid I asked Amar if he would put in a calendar picker, with a dispatch view to make it easier to see our schedule from a glance of the screen. And what do you know, Amar and his team made it happen! I simply couldn’t believe it when they went live with this whole new calendar view, along with a new calendar picker which takes you to whichever day on the schedule you want to go to with the click of a mouse. Zenmaid runs with a total of 3 different scheduling views. The first is the Calendar View, which breaks down all of your jobs for the day, month, or week, depending on which filter you want to apply. They have List View, which breaks down all of your schedule in a list going down the screen customer by customer. You can apply which filters for the timeline you want it to show. You can apply the filter to show just for the day, the whole month, the whole year, or all the appointments you have ever made in the software. I like using this to see which customers need to be paid out. You can simply pay out a customer with the click of a mouse, by clicking the paid button.
Then last but not least, the Dispatch View. This is the view I was referring to in which I had requested Amar to add into the software. It is simply my favorite view, and for several reasons. It’s simply a gridview of all of your appointments for the day. On the left side of the screen it shows all your team members, or field techs. Then it shows what jobs they are doing for that day, showing the time of the appointments in a bar. It shows how long the field tech will be at each job, going over to the right, hour by hour. For example: if you had a field tech with 2 jobs on them for that day, it would show the field tech’s name on the left side of the screen, then it would show a green colored bar showing the customer’s name and info on in, going however far right to the screen that the jobs last for, then the next job. And it of course shows the exact length of the job, and what time it ends. The next bar will show the next job they have, and so on and so forth, showing the customers name and info, and showing how long the job lasts for. Of course if you have a big job that day, it will display the number of techs assigned to the job, for however many hours they are scheduled for. So if I had 3 techs on Miss Brown’s house for 3 hours each, it would show on all 3 techs for 3 hours, being a 9 man hour job. What’s great about all of these views is you can click on the job, and it will show all of the job details. You can set this up exactly how you want it to look with Zenmaids custom fields. You can customize this to almost anything you want it to say. Using dropdown boxes, text boxes, and checkmark boxes.
Zenmaid’s Support Team
Zenmaid has one of the best support teams in the industry, all right at your fingertips…everyday. They run on intercom, which has an instant chat feature right at the bottom of the screen. If you ever run into any trouble, have questions about how to use the software, or if you simply want to make a suggestion to the team, you can chat with them instantly with this chat option. I can’t count how many times I had a question about something and all I had to do was simply click on the chat bar, and ask someone on the support team. They get back with you instantly and respond to answer any questions you may have. They can help with just about anything related to Zenmaid. They are super supportive and extremely attentive. I simply can’t believe how easy Amar made it to get help with just about anything. No other scheduling software has this much help to offer. As a matter of fact, no other software comes close to the support team Zenmaid has. You won’t ever be lost with Zenmaid. They are always there for your convenience, and are always willing to help you if you don’t know how something works. When we first started using the software, Amar and his team actually imported all of our customers into Zenmaid to get us started. There again, I simply couldn’t believe it when logging into the software the next day to see all of our customers already there, ready for us to start booking our schedule in. If you think all of this is good, your in for a treat because this is only the beginning with Zenmaid. It goes so deep, I could talk about all the features it has to offer for days.
Zenmaid’s Reporting Features
One of the most favorable features zenmaid has to offer is there reports. Zenmaid breaks down for you every single factor of how you run your maid service, from how much revenue you have coming in, to how you got your revenue from your leads. Zenmaid has a reporting feature that allows you to run custom reports that can tell you exactly what’s going on with your business. Let’s say I wanted to see how much revenue our company was pulling from the last 6 months, I can simply go to Zenmaid’s reporting tab and choose which dates I want to see how much income we had coming in. It breaks everything down for you in a chart. It also calculates your total revenue, how many appointments you did, all of your unpaid appointments, and even your payroll. Yes you heard right, I did say Payroll. Zenmaid can even run your payroll for you as well. You can choose to run your payroll in hourly wages you pay to your employees, or you can run your payroll in revenue share, for some of those who pay their team members in percentages. It even goes as far as telling you exactly how much your net pay after payroll is. You can run this report anytime you like, to see exactly which day to which day you want. If I wanted to, I could run our report for the whole year, or simply for the month.
Zenmaid even has a nifty tool called marketing maximizer. I can run this report to see exactly where my leads are coming from, and where I am gaining my customers from. This way I know exactly what is my main marketing source. From facebook, to google, to yelp, to instagram, as long as you have these as an option in your custom fields, which I will go more into a little later in this blog post, you can see the breakdown of what marketing source is making me the big bucks, and what marketing source is a waste of time and or money. This is a hugh feature that will protect the assets of your company. Being able to see this is a game changer in investing your money into leads and marketing dollars. Zenmaid even has a report you can run by making a custom field. If you wanted to make a custom field and run the report on that as well, Zenmaid offers this option too. This is an amazing feature simply because Zenmaid is so customizable, and it’s important to be able to run a report of your own making.
Zenmaid’s Custom Fields
Zenmaid has made the most powerful maid service software tools, and this is one of the main reasons it functions so well. You are actually able to make your own custom fields based on however and whatever you want Zenmaid to show you. The way it works is you have 2 base custom field tabs you can create. A Customer Custom Field base, and an Appointment Custom Field base. You can make these custom fields in boxes, using dropdown selection boxes, text boxes, or checkmark boxes. It has actually got a pretty simple functionality to it. You simply name your custom field…whatever you want to call it. For example: I could make one called “Point Of Entry.” Then you choose what type of custom field you want it to be, a dropdown box in which you can make the options for the dropdown to choose from, a text box to write in whatever you want, or a checkbox, to simply check whatever you want to check based off your options. Here’s another example: If I want to make a Custom Field for an appointment, I would start by making the first one called, “Point of Entry”, then I would choose to make it a dropdown selection. I would make the selection to be Let In, Key Under Mat, Door Unlocked, Door Code, and so on. Then you can choose where exactly you want it to be placed, in the top of the Appointment Custom field list, 2nd position, 3rd position, and so on. It’s all just preference based on how you book your jobs. Once you make all your Appointment Custom Fields, you can make your Customer Custom Fields. It works the same way the Appointment Custom Fields works. You can build it by naming it, and then choosing if you want it to be a dropdown box with your different options, a text box you can write whatever you want in, or a checkbox of your different choices you want to choose from. There is no limit to these custom fields. You can make as many as you desire to record whatever info you want in the Zenmaid software. This is what makes Zenmaid so special. You can customize it to your own liking. Once you finish making your custom fields, you are ready to book your jobs. Whenever you add a new customer to your contacts, you can add whatever info you want based on what kind of custom fields you made for your Customer Custom Fields. Then once you have your customer in the system, you will be able to schedule a job out of it. This is where your Appointment Customer Fields comes into play. However you wanted to make your Appointment Custom Fields, you will be able to record all the info you want about you appointments.
